Terms of Service
Last updated 10 August 2026
These terms cover your use of FlowDocs. By creating an account or using the service you agree to them. If you are agreeing on behalf of a company, you confirm you are authorised to do so.
What FlowDocs does
FlowDocs extracts structured data from documents you provide. You upload documents through the web application, through our API, or by email where that is enabled; we parse them, read the fields you have asked for, and make the results available to export or deliver to a destination you configure.
Extraction is performed with the help of automated systems, including third-party AI services. It is not guaranteed to be accurate or complete — see “Accuracy” below.
Your account
You are responsible for keeping your credentials secure and for activity that happens under your account, including activity by anyone you invite into your workspace and by any API key you create. API keys are shown once at creation; if a key is lost or exposed, revoke it.
You must provide accurate account information and be old enough to enter a contract.
Your content stays yours
You keep all rights to the documents you upload and to the data extracted from them. We claim no ownership of it.
You grant us only the permission we need to run the service for you: to store, process, transmit and display your content for the purpose of providing FlowDocs to you. That necessarily includes transmitting documents or their text to the processors described in our Privacy Policy. We do not use your content for any other purpose.
You confirm that you have the right to upload the documents you upload, and to have them processed as described. If your documents contain other people’s personal information, you are responsible for having a lawful basis to provide it to us.
Acceptable use
You agree not to:
upload content you have no right to; upload malware or attempt to compromise the service or other users’ data; attempt to access another workspace’s content; probe or circumvent our rate limits, plan limits or authentication; use the service to process content that is unlawful; or resell the service as your own without our agreement.
Webhook destinations you configure must be endpoints you control or are authorised to send to. We validate destinations to prevent the service being pointed at internal infrastructure.
Limits
The service enforces limits including maximum file size, page count, documents per job and fields per extraction, as well as rate limits. Current limits are shown in the application. We may adjust them, and we may throttle or suspend usage that threatens the stability of the service for others.
Accuracy
Extraction is automated and imperfect. Output can be wrong, incomplete, or missing, particularly for poor-quality scans, unusual layouts or handwriting. Confidence scores are an indication, not a guarantee.
You should review extracted data before relying on it for anything consequential — including customs, financial, contractual or regulatory purposes. FlowDocs is a tool to assist your work, not a substitute for checking it.
Availability and changes
We aim to keep FlowDocs available but do not promise uninterrupted service. We may change, suspend or discontinue features. Where a change materially reduces what the service does, we will make a reasonable effort to tell you.
We depend on third-party providers, including our hosting, database and AI processors. An outage or change at one of those providers can affect the service.
Deletion and ending your use
You can stop using FlowDocs at any time. Deleted documents sit in Trash and are purged after 60 days; you can also delete permanently. To close your account entirely, contact us.
We may suspend or close an account that breaches these terms, or where required by law. If we do so other than for a serious breach, we will give you a reasonable opportunity to export your data.
Export your data before closing your account. Once deleted, we cannot recover it.
No warranty
The service is provided “as is” and “as available”, without warranties of any kind to the fullest extent permitted by law, including any implied warranty of merchantability, fitness for a particular purpose, or non-infringement.
Limitation of liability
To the fullest extent permitted by law, FlowDocs is not liable for indirect, incidental, special or consequential losses, or for lost profits, revenue, goodwill or data, arising out of your use of the service — including losses arising from inaccurate extraction output.
Nothing in these terms limits liability that cannot be limited by law.
Changes to these terms
We may update these terms. We will update the date at the top of this page, and for material changes we will make a reasonable effort to notify you. Continuing to use the service after a change means you accept it.
